Wheat procurement and QC claims

QC claims calculated the same way on every wheat lot

Enter the lab readings at the gate and GrainTech applies your standards and claim rules to the lot. The gate, the munim and the owner all work from the same figure.

Sound familiar?

Every claim becomes an argument

The deduction is worked out on a calculator after the readings. When the vendor disputes it, nobody can show the rule that was applied.

Different people, different claims

Two staff members checking the same moisture reading can arrive at two different deductions, and you only find out when the vendor complains.

Negotiated figures get lost

When you agree a different claim with a regular vendor, the calculated figure and the agreed one are rarely both on record.

Bags are counted, then forgotten

Jute bags arriving with each lot are noted in one register and never matched to the bag stock.

What GrainTech does

Raw material entry with lab readings

Each wheat lot is recorded with gross weight, bags, rate and one or more readings per parameter. The claim is calculated on the average of the readings.

Four ways to calculate a claim

Percentage of weight (difference from standard times a ratio), a flat rupee amount per quintal, a flat amount per bag, or slabs that set the deduction for each range of readings.

Wheat parameters built in

HL (claimed when below standard), moisture (claimed when above, with a default standard of 12), refraction and mitti are built in. Set your standards and add parameters of your own.

Settled claims

Agreed a different deduction with the vendor? Record the settled quintals and they replace the calculated claim on that lot.

Purchase orders

Raise purchase orders for wheat and receive lots against them.

Bardana with every lot

Jute bags received with a lot go straight into the bardana ledger.

Vendors see their own entries

Your vendors can log in to a view-only portal and see their lots with weight, rate and amount, instead of calling your office.

How it works

  1. 01

    Set your rules once

For each parameter, choose the standard, the direction that triggers a claim, and how the claim is calculated.

  2. 02

Enter the lot at the gate

Gross weight, bags, rate and the lab readings, on the web or on the phone app.

  3. 03

    GrainTech applies the rule

The average reading is compared with the standard, or matched to a slab, and the deduction is shown in quintals and rupees.

  4. 04

    Settle and pay

Record a settled claim if you agreed one, and the net amount flows to the vendor’s ledger for payment.

Questions mill owners ask

Which QC parameters come built in?

HL, moisture, refraction and mitti. HL is claimed when the reading is below standard; moisture, refraction and mitti when it is above. The default moisture standard is 12.

Can I use my own slabs?

Yes. With slabs, each range of readings has its own deduction percentage, and the last range can be open-ended. The standard is not used in slab mode.

What if we agree a different claim with the vendor?

Enter the settled claim in quintals. It replaces the calculated claim on that lot, and you can also mark a lot as no claim.

Can vendors check their entries themselves?

Yes. Vendors with a partner portal login can see their lots with your mill, with weight, rate and amount, in view-only mode.

Does it work for grains other than wheat?

The built-in parameters are for wheat. You can add your own parameters and rules for other grains, but GrainTech is built and tested around wheat milling.
